FAQ

Can I import my client list from another platform? Not yet — there’s no CSV import in the UI today. Add clients manually or let them auto-create as they book online. Importing is on the roadmap; email hello@chairtime.co.za if it’s blocking you.

Can I use Chairtime with WhatsApp? Partially. Every client card and the re-engagement panel have one-tap WhatsApp deep-links so you can message them from the platform. Automated confirmations go via email today. WhatsApp Business API is on the roadmap.

Do I need a card machine? Yes if you want to take card payments. The POS records the method (cash / card / EFT) for each sale but doesn’t process the card itself — you’d swipe on your own machine (Yoco, iKhokha, your bank’s). Online charging through Chairtime is on the roadmap; see Online payments.

Can a client see another client’s appointment? Never. The storefront shows free slots only — never names. Each tenant is fully isolated.

Is there a free plan? A 14-day free trial with all Pro features. After that you pick Basic (R499/mo), Pro (R999/mo), or Enterprise (R2,499/mo). See Plans.

Are there per-booking fees? No. Your plan is flat per month, VAT inclusive.

Can I pause my subscription over a quiet season? You can cancel and re-subscribe later. Data is retained for 30 days after cancellation, after which it’s permanently removed.

What if I take a booking on the phone outside of Chairtime? Type it in afterwards — /platform/board → tap + New → fill in. Takes under a minute. The board is your single source of truth.

Can two practitioners work the same station? Not at the same time — that’s the whole point of a station. If two practitioners share a chair in shifts, model it as one station with both their working hours configured.

Can clients book recurring appointments? Not yet — every booking is independent. Recurring slots are on the roadmap. For now, if a regular wants the same slot every four weeks, book the next visit at the end of the current one.

What happens if my internet goes down? The platform needs internet. We’re working on an offline-capable POS — for now, write bookings down and type them in when you’re back online.

Where is my client data stored? Supabase, on AWS Cape Town region. Encrypted at rest, encrypted in transit. POPIA-compliant.

Can I export my data if I leave? You can export the Reports view as CSV from /platform/reports. A full “everything in one ZIP” export is on the roadmap; until then, contact hello@chairtime.co.za and we’ll pull a one-time export for you.

Who can see my data? You and your team (per role). Bot & Botty support staff can view your data only with your permission for support tickets. We never use your client list for anything else.
